Reading Customer Reviews

Reading Customer Reviews

Reviews are easier to use when you keep the customer's words beside the label you give them. Start with a small batch. Group what happened, keep praise and complaints in view, and write down what needs checking next.

Keep the original words

Use an existing review export or copy a manageable sample into a spreadsheet. Keep the source, date and a stable review ID. Leave names, email addresses and order details out of your working notes unless they are needed for the job. Choose the period and sources before you read. A batch of delivery complaints from one busy week answers a different question from a year's reviews of the whole service. Record that choice so someone else can understand what your notes cover.

Read the sample table

A review can contain praise and a problem. Keep both. R02 is not simply a negative review: it praises the product and points to missing information.

Give the labels some boundaries

Write a short definition for each theme. Use "delivery updates" for information about a parcel's progress; use "delivery timing" for when it arrived. That keeps a blank tracking page separate from a late parcel.

Add a theme when the words support it. "Support was disappointing" does not tell you whether the reply was late, unhelpful or rude. Mark it unclear and keep the quote. You can revisit the label when you have better evidence.

If someone else is helping, label the same small batch separately and compare your choices before splitting the rest. Disagreements often reveal a label that needs a clearer definition.

Count reviews and mentions separately

The sample contains four reviews and eight theme mentions. Four mentions describe praise; four describe problems. A mention count can exceed the number of reviews because a customer can discuss several topics. For a theme count, count each review once per theme, even if the customer repeats the same point. Keep the total number of reviews beside the result. "Delivery timing appeared in 1 of 4 reviews in this sample" is more useful than an unexplained percentage.
Do not call every mention an issue. Keep positive, negative, mixed and unclear observations separate. A theme label is a reading decision, not proof of what caused the experience.

Turn a theme into a check

R01 suggests checking the tracking page and the delivery record. R02 suggests checking whether the product page answers the dishwasher question. R03 suggests checking how context moves between replies. Those checks might lead to an edit or a process change; the review alone does not settle the cause.

Keep an owner and a next step beside each theme. If you edit a page or change a process, record the date. Read the next comparable batch with the same definitions before deciding whether the change helped. Reviewers are a self-selected group; their feedback does not describe every customer.

Start a coding sheet

Use one row for each review-and-theme pair. Keep the quote or a useful excerpt. Leave the theme blank when the wording is too vague to label.
